There are several ways to implement your online duty roster, depending on what kind of system you are coming from:
If you are coming from a paper based system, or no system at all, onDuty can immediately help in organizing your shift calendar. In this case, you might consider setting up the onDuty core functions (roster and main duties) quickly and introducing additional functionality to your staff in sections. This way, you can start building your historical data for future reports
Alternatively, if you are currently using a system for managing your shift calendar, you should consider what additional benefits onDuty provides for your staff and consider your staff's ability and willingness to adjust to a new system. This will help determine a timeline for setup. Generally, an organization following this path will go through the following stages:
Demonstration and Buy In: You will be given access to a pre-configured onDuty Demonstration site where you and members of your organization can evaluate the applicability of onDuty to your organization. It is important that other members of your organization are involved in the evaluation and discussion for your scheduling software, since that will help to more quickly move other members to the new system. During this stage, you can begin to prepare the information for your organization.
Subscription and Configuration: Once you are ready to subscribe to onDuty onLine for your organization's duty roster, you will be contacted by one of our support engineers to ensure your data collection and system configuration goes smoothly. In short, you will send us a list of your roster and duties, in addition to answering a list of survey questions so we can make sure your system is working smoothly from the start.
Training and Preparation: During this stage, your staff roster will be created and your organization members will have access to the site in order to become familiar with the new software. Members should be encouraged to examine the site, but most members will not pay more than a cursory examination of the software until this system becomes the system of record. It is with this in mind, that onDuty has been designed for staff to easily become familiar with the functions they need to perform quickly. One method we have found that helps training, is to focus training and discussion with a few staff members who are most enthusiastic about the benefits this system provides. Those staff members can then help assist the training of the other members. However, most staff will easily be able learn the functions this software provides.
Going Live: A date should be chosen for your organization to "go live" on this new system. After this date, all data should be considered real, and prior experimental data will be removed. (You will receive more information on what information is kept and what information is removed before going live once you subscribe). New passwords will be sent to each user, and onDuty will become the system of record. If your organization is using the time clock module, you will begin tracking time and attendance. In our experience, while your staff becomes familiar with clocking in and clocking out for their shifts, administrators will need to complete time cards when they are missed.
